How to Create an Air Conditioning Handover and Service Folder

A system folder helps the household find the right manual and gives a service provider a clearer history. It can be a paper folder or a private digital folder; it does not need technical software.

Need help before you start? Ask MyTradie for a quick overview of your system.

Before you start

Collect the accepted quote, installation paperwork, manuals and any service reports you already have. Keep personal account credentials and payment details separate from documents shared for a service enquiry.

Step-by-step tutorial

  1. Create an equipment page. List indoor and outdoor models, room names and controller references from the supplied paperwork.
  2. Save the correct instructions. Use the manufacturer’s manual for the exact equipment and note the user-maintenance pages.
  3. Keep the installation record. Store the agreed scope, handover notes and the provider contact. Record any approved changes made during installation.
  4. Add a service timeline. Keep dates, reported symptoms, completed work and follow-up recommendations in order.
  5. Make an easy household reference. Write where the controller instructions and service contact can be found, without leaving private account details on display.

Check the result

Someone should be able to find the system model and operating instructions without opening equipment. Update the folder after a controller change, service or replacement so obsolete instructions do not cause confusion.

Stop and get professional help if needed

Do not remove a cover to photograph a serial label or treat a missing document as proof of warranty coverage. Ask the installer or manufacturer for the correct record and applicable terms when needed.

A common question

Should I share the whole folder when requesting service?

Usually only the relevant model, symptom and service information is needed initially. Keep unrelated personal, payment and login information out of the enquiry.
